The project manager that knows what each client leaves you.
Gaden reads the client, researches the market and writes the strategy. Then it turns the strategy into tasks, plans your day, tracks the hours and puts them against what the client pays. You see the margin while the work is still happening, not after the engagement is over.
Two direct competitors win on proof, not on price.
- Both publish named case studies.
- Neither answers in Spanish.
- No one owns the Texas distributor search.
Most teams run client work in three places that never talk.
Each tool is correct on its own. The problem is the space between them, and that is where the money goes.
Tasks
It knows what is open and who owns it. It does not know what the client pays or what the work costs.
Hours
It knows how long people worked. It does not know which deliverable the hours belong to or what they cost.
Margin
It knows the retainer and the freelancer invoices. Someone updates it at the end of the quarter, if at all.
Nobody connects the 60 hours to the retainer until the work is done. By then the price is signed, the deliverables are delivered and the only thing left to decide is whether to renew. Gaden keeps the three in one record, so the answer is ready before that decision.
From the first document to the last dollar, on one record.
Every step reads what the step before it produced. The strategy reads the research, the tasks read the strategy, the day reads the tasks and the margin reads the day. Then the margin goes back into the next decision.
Documents, links, notes and voice notes in the client's library, each one audited by Gaden.
Six rooms answer one question each, with the sources kept next to every finding.
A strategy report with a verdict, the fixes, the rewrites and a phased plan.
Tasks generated from the full client context, assigned to a person or to Gaden.
My Day fits the tasks into your hours. The tracker records every minute on the task.
Win Strategy puts the hours and the deliverable costs against what the client pays.
Everything about the client in one room, and Gaden has read all of it.
Pick a client from your Client Hub or create one. Add what you know: a capabilities deck, the website, notes from the first call. Gaden audits each item in the cloud and tells you what it says, what works, what does not, what is missing and what to ask the client next.
- PDF, Word, images, web pages, written notes and voice notes
- Record a voice note after a call. Listen, save, and Gaden transcribes it and reads it like any document
- Several projects per client, all reading the same library
- The client's own chat answers from the library, the research and the strategy
Six rooms. Each answers one question, with its sources.
Open a room, describe what you are looking for, and press Run. Gaden plans the searches from your description, reads the best pages in full, asks AI answer engines how they describe the client and writes a verdict with three takeaways. Each room opens full screen, keeps every run and has its own chat that has read the whole result.
- Discovery, ICP, People, Competitors, SEO and AEO and Strategy audit
- Competitors shows what is working for them and how you can adapt it
- Every finding cites its source. The sources Gaden discarded are listed with the reason
- Runs in the cloud. Close the laptop and the result is waiting when you come back
People research uses public professional information only: name, title, company and the source.
From research to a strategy you can present the same day.
Gaden writes a second layer on top of the audit and the rooms. It opens as a full-screen animated presentation, downloads as a PDF, and one button turns it into tasks in a new or existing project.
- A verdict and a score, with what works and what does not
- The lead offer, and the top fixes ranked by impact and effort
- Copy rewrites, before and after, with the reason
- A claims ledger: each claim on the client's site marked supported, unsupported or contradicted
- A StoryBrand story, a case study plan, what the client must provide and a phased plan
Tasks that come from the client, not from memory.
When a project belongs to a client, Gaden builds a prompt with the full context: the library, the research, the strategy and what the client still owes you. You can read it, edit it and copy it. Then Gaden generates the tasks, you pick the ones you want and they land in the project.
- Assign each task to a person or to Gaden. AI drafts wait for your review before they count as done
- Every project has a chat that knows the project and the client
- Each person manages their own projects. The owner of the organization sees the whole team
- Time, folders, status and delegation in the same board
Gaden organizes your day. The card tracks it.
Press "Plan my day". Gaden reads your open tasks, today's meetings and bookings from the Smart Calendar, the calendar reminders that are due and the AI drafts waiting for your review. Then it fits them into your working hours. It only uses tasks that exist, meetings stay where they are and whatever does not fit is listed with the reason.
- Press Start on a block. A card follows you across the app: what you are doing, for which client and for how long
- Pause, add 15 minutes or stop. The card turns amber when you pass the planned time
- When you stop, the time goes to the task and to the time log. Mark it done in the same click
- The card lives in the cloud, so it survives a refresh and shows on your other devices
What winning looks like, and what the client actually leaves you.
Set the goal, the metric and the date. Build the timeline. Add the team and what each person's hour costs you. List the deliverables with what you charge and what it costs you to produce: if you charge $1,200 for a video and pay a freelancer $500 to make it, the margin on that video is $700. Add the retainer and what it cost you to win the client.
- The hours come from the tracker, so the margin updates with the real work
- Revenue, direct cost, gross profit, acquisition cost, net, payback in months and the return on acquisition cost
- "Draft with Gaden" proposes the goal, milestones, roles and deliverables. It never proposes a price or a cost
- The chat quotes the computed figures. It does not calculate them
The math runs in code, not in the AI model. A number you did not enter is never invented.
The client math, the way Gaden runs it.
Change any number. This is the same formula Win Strategy uses, with the hours coming from a field here instead of the tracker. Nothing leaves this page.
One loop, for any business that sells time or deliverables.
The words change from one industry to another. The question does not: which clients pay for the work they consume, and which ones the team is paying for.
| Business | The client | A deliverable | What Gaden shows you |
|---|---|---|---|
| Recruiting firm | A company that is hiring | A shortlist, a placement | Which accounts pay for the recruiter hours spent on them |
| Marketing agency | A brand | A video, a campaign, a monthly content plan | The margin per deliverable once freelancer costs and team hours are in |
| Consultancy | An engagement | An audit, a report, a workshop | Whether the fixed fee still covers the hours being logged |
| Engineering services | A program or an account | A quote, a prototype run, a documentation package | Which accounts use engineering time without the revenue to match it |
| Software and IT services | A project or a support contract | A sprint, a feature, monthly support | Where support hours are consuming the retainer |
Selling to a new market first? Gaden B2B finds the accounts. The Project Manager runs the work once they sign.
Six changes in how the work moves.
The tracker writes to the task, the task belongs to a project and the project belongs to a client. No hour ends up in a timer that nobody connects to money.
Tasks come from the client's documents, the research and the strategy. A new person on the account reads the same record instead of asking around.
Each person starts from a plan built on their own tasks, meetings and reminders, with the overdue work first and what does not fit listed with the reason.
AI work waits for review before it counts. Gaden does the first draft of the research, the strategy and the tasks. The decisions stay with your team.
Audits, transcriptions and research run in the cloud. Start a room, go to a meeting and read the result after.
Before you renew or quote the next project, you know the margin per deliverable and per client from the work that actually happened.
Built so you can trust the numbers and the sources.
Prices and costs come from you. The economics are computed in code. When a figure is missing, Gaden leaves the field empty and says which figure it needs.
Research results cite the page they came from. Sources Gaden decided not to use are shown with the reason, so you can check the judgment.
Each person sees the projects they own, are assigned to or were shared with. The owner of the organization sees the team. Personal notes and the day plan stay private.
People research returns name, title, company and the source. Nothing personal, and nothing that is not already public and professional.
What people ask before they start.
What is an AI project manager?
A project manager that does part of the work instead of only storing it. In Gaden that means reading the client's documents, researching the market with cited sources, writing the strategy, turning it into tasks, planning each person's day and tracking the hours against what the client pays.
How does Gaden calculate the profitability of a client?
Revenue is the retainer plus each deliverable's price times its quantity. Direct cost is each deliverable's production cost plus the hours logged on that client's work times each person's cost per hour. Gross profit minus the cost of acquiring the client gives the net. Gaden also shows payback in months and the return on the acquisition cost. The math runs in code, not in the AI model.
Does the AI set my prices or costs?
No. Gaden can draft the goal, the milestones, the roles and the list of deliverables, but it leaves every price and every cost empty. Those numbers come from you, because an invented price in a profitability plan is worse than an empty field.
Can everyone on my team see every project?
No. Each person manages their own projects and sees the projects they own, are assigned to or were shared with. The owner of the organization sees the whole team, including team time reports.
Does it only work for recruiting firms?
No. It works for any team that sells time or deliverables to clients: agencies, consultancies, professional services, engineering services, software shops and recruiting firms.
What happens if I close the browser while a research room is running?
The run continues in the cloud. Document audits, voice note transcriptions and research rooms are picked up by a cloud worker, and the result is waiting when you come back.
Can I record voice notes about a client?
Yes. Record a note in the client's library, listen to it and save it. Gaden transcribes it in the cloud and reads the transcript like any other document, so the chat and the strategy can use what you said.
Can I download the strategy report?
Yes. The report opens as a full-screen presentation and downloads as a PDF. A button on the report turns it into tasks in a new or existing project.
Start with one client.
Open a workspace, add what you know and run one room. The strategy, the tasks and the math will be in the same place.
